Job Overview

The Maintenance  Assistant provides administrative and operational support to the Maintenance Department to ensure efficient day-to-day operations. This position is responsible for purchasing maintenance parts and services, managing spare parts inventory, coordinating with vendors, processing purchase orders, and supporting maintenance activities to minimize downtime and maintain operational efficiency.

Responsibilities

  • Source and evaluate suppliers for maintenance parts, tools, and services.
  • Maintain adequate inventory levels of critical spare parts.
  • Request quotations and negotiate pricing, payment terms, and delivery schedules.
  • Create and manage purchase orders and track deliveries.
  • Verify pricing and ensure accuracy before receiving materials.
  • Inspect received products to confirm quality and compliance with specifications.
  • Maintain accurate inventory records and support preventive and corrective maintenance activities.
  • Coordinate with maintenance personnel to identify equipment and parts requirements.
  • Assist with invoice processing and communication with the Accounting Department.
  • Follow up on warranty claims for parts and services.
  • Update information within Maintenance-X and other company systems.
  • Provide administrative support to the Maintenance Department and other operational teams as needed.
  • Perform other duties as assigned.

Requirements

  • Minimum of 2 years of experience in purchasing, inventory management, maintenance support, or a related role.
  • Experience handling spare parts procurement and inventory control.
  • Food manufacturing industry experience preferred.
  • High School Diploma required; Associate's or Bachelor's degree in Business Administration, Engineering, or related field preferred.
  • Strong computer skills and experience with computerized management systems.
  • Excellent communication and organizational skills.
  • Bilingual (English/Spanish) required.
  • Authorized to work in the United States.

Physical Requirements

  • Ability to lift up to 30 pounds regularly.

  • Exposure to varying temperatures and moving machinery.
  • Occasional weekend and holiday work may be required.
